FTE Event Cancellation Policy

If cancellation is necessary, you must complete FTE’s cancellation form below. Contact the event’s design manager if you have any questions.

If you agreed to attend an FTE event, booked travel through FTE’s travel partner and need to cancel, you will be required to call our travel partner Navan and request cancellation. If more than 24 hours have passed since you booked your flight, you will be required to reimburse FTE for the cost of your airline ticket (exceptions may exist for medical emergencies).

If you wish to travel on dates outside of the event parameters, FTE will only cover the cost of one round trip flight up to the average rate for tickets booked within event travel days. FTE will not reimburse extra rooming nights. FTE reserves and pays for your hotel room based on your travel dates. If you choose to arrive early or have a delayed departure, your room is not guaranteed for the additional nights outside of the event dates.

Cancellation requires event manager notification at least 30 days prior to the start of the event to receive a full registration fee refund. Notification made 29 days or less prior to the event date may not receive a full refund. Participants are responsible for handling any self-booked travel or lodging expenses they may incur if they cancel.

No-shows will not be refunded any event-related fees. For events that offer a daily rate, the registrant will forfeit the full amount of their registration cost if they cancel less than 30 days prior to the event.

For payments received by credit/debit cards, the same credit/debit card will be refunded. For all other payments, a check will be mailed to the address of the payee. Refund payments will be issued within ten business days from completion of the cancelation form.

By submitting your event registration form, you are agreeing to abide by FTE’s COVID-19 Safety Protocols which are as follows:

  • Do not travel to an FTE event if you have, or have had, or been exposed to COVID in the 14 days prior to the event; have COVID symptoms, especially a sore throat; or are awaiting the results of a COVID test.
  • Follow all current Transportation Security Administration (TSA) regulations when flying.
  • Upon arrival at the event, follow all State or Federal COVID guidelines that are currently in place.
  • If at any time during the event you feel unwell, learn that you have been exposed to COVID-19 in the last 14 days prior to the event, develop symptoms of COVID-19, or test positive for COVID-19, do not attend the meeting. Please remain in your hotel room, or at home, and seek medical care. Notify FTE staff immediately by email.
  • Any additional expenses or travel arrangements, including medical care, related to symptoms, or testing positive for COVID are your responsibility.
  • Adherence to onsite guidelines in place at the time of event is required and FTE reserves the right to modify these guidelines at any time. Anyone not adhering to FTE’s COVID-19 guidelines will be asked to leave the event.


Note: Depending on case numbers, FTE will determine closer to the event what masking requirements are, if any.

FTE reserves the right cancel of change speakers/programming without notice.

FTE reserves the right to cancel the event upon the occurrence of any event or circumstance beyond its control, including acts of God, declared war in the United States, acts of terrorism in the city where the Hotel premises are located, government regulations, disaster, national pandemic, strikes or civil disorder, or curtailment of transportation that prevents at least fifty percent (50%) of the attendees from attending.
